Grant Administrator Position - NWCT Arts Council

Reports to:
Executive Director

Part-Time Contractor: $25,000/year (20 hours a week)

Anticipated Start Date: Mid/late January 2022


The terms of the contract will extend for 1 year after the start date. The contractor will be responsible for program administration through completion, and must commit to the complete duration of the contract.

40 hours paid time off (equivalent to 2 weeks).

Overview:

The NWCT Arts Council is seeking a part time Grant Administrator to manage a re-granting program utilizing funds from the National Endowment for the Arts (NEA).  The Arts Council has received a grant through the American Rescue Plan to distribute grants in the community to eligible recipients to save jobs and to fund operations and facilities, health and safety supplies, and marketing and promotional efforts to encourage attendance and participation.  This re-granting program will give the opportunity for arts and cultural nonprofit organizations to apply for operational funding, and give teaching artists the opportunity to apply to bring arts programs to social service organizations.


The Grant Administrator will work with the oversight and assistance of the Executive Director to access all the organizational data required for outreach and communications. 


Responsibilities:

  • Working with the Arts Council staff to write grant application criteria.
  • Perform risk assessment to ensure that all NEA guidelines and regulations are meticulously followed.
  • Setting up the online grant application portal. 
  • Managing complete grant administrative timeline. 
  • Planning and administering community grant information sessions. Some travel may be required.
  • Keeping office hours for grant assistance. 
  • Communication and marketing of the grant opportunity through press releases, social media, email campaigns, and phone calls. 
  • Outreach and selection of jury panel. 
  • Creation of the review criteria, coordination of the jury panel, and facilitation of applicant selection.
  • Applicant notifications. 
  • Funding disbursement management. 
  • Organizing and compiling data for final reporting. 


Qualifications:


  • Excellent written and verbal English language communication skills, including spelling and grammar.
  • Highly organized with attention to detail.
  • Background experience or a working knowledge of grant administration procedures.
  • Proficiency with Microsoft Office products, including Word, Excel and Powerpoint.
  • Fundamental aptitude to learn and adapt to new software programs quickly.
  • Ability to work with minimal supervision.
  • Excellent customer service and interpersonal skills.
  • Flexibility in managing multiple priorities.
  • Ability to maintain strict confidentiality in handling sensitive information.
  • Interest in and passion for the cultural community of the Northwest Connecticut region.

  • Prior grant writing/administration experience or arts administrative work is a plus.


CONFLICTS OF INTEREST
Employees must notify the Executive Director or her/his designee of any actual or potential conflict of interest. An actual or potential conflict of interest occurs when an employee is in a position to influence a decision that may result in a personal gain for that employee or for a relative as a result of the Council's business dealings. Personal gain may result not only in cases where an employee or relative has a significant ownership in a firm with which the Council does business, but also when an employee or relative receives any kickback, bribe, substantial gift or special consideration as a result of any transaction or business dealings involving the Council. 

Further, employees shall not maintain an outside business or financial interest, or engage in any outside business or financial activity, which conflicts with the interests of the Council or which interferes with the employee's ability to fully perform his or her job responsibilities. 

Violators of this policy may be subject to disciplinary action, up to and including discharge.
